Job Title: Business Support and Information Officer – Family Hubs

Location: Bournemouth, Christchurch, and Poole (BCP) Council. The role is based at Turlin Moor Family Hub 

Contract: Permanent

Hours: 37 hours per week,  8:30am-4:30pm,  Monday to Friday.

Role Purpose

You will be the welcoming face of the Family Hub, ensuring all visitors, particularly children, young people and families, receive a friendly and helpful front-of-house service. Your role will involve providing efficient administrative support to staff, managing data, and ensuring the smooth operation of the Family Hub.

Main Responsibilities

  • Provide the reception role for the Family Hub, welcoming and assisting visitors.
  • Manage data input and updates on the Management Information Systems.
  • Administer Request for Support forms, Early Help referrals, and other relevant processes.
  • Maintain a clean and tidy reception area with up-to-date displays.
  • Provide visitors with relevant information about the Family Hub and other local services.
  • Handle sensitive and contentious enquiries professionally.
  • Monitor and update social media sites as needed.
  • Liaise with Asset Management and Property Services to ensure building services are up to date.
  • Organise fire drills, health and safety checks, and maintain first aid kits.
  • Provide administrative support for the service.
  • Use the BCP financial system for budget monitoring and purchasing.
  • Maintain and update Family Hub timetables, leaflets, and literature.
  • Support the delivery of Family Hub groups and events.
  • Assist with recruitment and induction processes.
  • Ensure compliance with Data Protection and Health and Safety regulations.

The Ideal Candidate

The ideal candidate will have significant administration experience in a busy office environment. They should be proficient in taking minutes at meetings and using various IT software packages, including Excel, PowerPoint, Word and management information systems.  A minimum of 2 A Levels or equivalent experience is required. Strong

 communication and interpersonal skills are essential for this role. The candidate should be able to work effectively as part of a team and under minimal supervision. They should have a strong commitment to customer care and delivering high-quality services. Additionally, the ideal candidate should demonstrate a willingness to undertake further training and development to support their administrative work. They should be adaptable, professional, and have a positive approach to work.
