Job Introduction
Role Purpose
To assist with increased workload and cover for holidays in a busy, front facing office of Births, deaths, Marriages and Civil Partnerships.
Meet and greet the public as they attend registration appointments, or call for other purposes at The Guildhall. Initially receive and deal with all incoming telephone calls to the Register Office ensuring that the customers are dealt with or passed on to colleagues in a friendly and efficient manner.
Undertake regular and routine administration duties for the office, including viewing Dynamics Dashboard for all certificate orders and being responsible for searching and issuing those certificates. The roles also requires the booking of appointments on an electronic diary system.
Main Responsibilities
Act as an initial contact with the public when they visit The Guildhall and dealing with their requests and queries as necessary. Deal with requests for certificates, appointment bookings and referrals to Registrars.
Issue certificates of births, deaths, marriages and civil partnerships and searching for register entries
Filing and retrieving of registers from strong room facilities
Ordering stationary supplies for the office as and when required
Keying of manual register index records onto electronic database
Opening and locking of Register Office to coincide with office hours.
Assist Superintendent Registrar with organisation of any events at The Guildhall.

As a result of the creation of BCP Council in 2019, we are working on simplifying our terms and conditions of service and will be creating a single pay structure which is to be applicable for all employees. This has taken longer than we hoped and therefore we are having to consider all alternative avenues available to enable us to remove inequality in the organisation as a result of bringing together 3 councils.
We are in the process of establishing a timescale for implementation, and all colleagues joining us will be included in these changes. We want to reassure everyone that whichever route is taken to reach the new terms and conditions, we can honour continuous service and there will not be any job reduction as a result of the implementation of Pay and Reward.
