Job Vacancy: Administration Assistant

Location:     St. James’ CE Primary Academy
Reports to:   School Business Manager
Contract:     Term-time only, Fixed term

Hours:          35 hrs/week

Salary:         Pro-rata £19,427 - £20,047 (NJC 4-6, FTE £24,404 - £25,183)

Start date:   4 Nov 2024 or earlier if possible.

St James CE Primary Academy provides an engaging, relevant education within a Christian environment, where everyone flourishes academically, socially, physically, morally, emotionally and spiritually. We are seeking a motivated and efficient Administration Assistant to support our School Business Manager with administration supporting recruitment, health & safety, staff training, visitor management, etc. With training and development from both our academy trust and the business manager, this is a fantastic opportunity to build experience whilst contributing to the smooth running of our school, all within a happy and collaborative environment.

Key Responsibilities:

  • Provide comprehensive administrative support to the School Business Manager and other leadership team members.
  • Maintain accurate records and data management in line with data protection procedures.
  • Assist with recruitment, payroll, health & safety, and safeguarding processes.
  • Liaise with external contractors and service providers such as cleaning, catering, and IT support.
  • Use IT systems confidently, including Microsoft Office and school-specific software.
  • Support content management on the school website and IT-based administration initiatives.
  • Handle day-to-day office operations, including answering phone calls and greeting visitors.
  • Administer first aid and act as a Fire Marshall when necessary.
  • Provide occasional playground and dining hall supervision for pupil safety and wellbeing.

Qualifications and Experience:

  • GCSEs (or equivalent) in English and Maths.
  • Previous experience in an administrative or office-based role.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience working in a school or educational environment (desirable).

Skills and Competencies:

  • Strong organisational skills and attention to detail.
  • Ability to manage multiple tasks and prioritise workload effectively.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Ability to handle pressure and meet deadlines.
